THE CHALLENGE

Event Orders are the operational backbone.
And they’re still produced in Word.

Event Orders – a.k.a. BEO, Banquet Event Order, runsheet, function sheet, you name it – are the operational backbone of every venue event, detailing F&B, AV setup, room configuration, staffing, timelines, billing. Yet most venues still produce Event Orders with manual Word documents or legacy systems that require constant copy-paste from the CRM. When event details change (and they always change), the operations team must manually find what changed, update the document, and redistribute – often missing critical updates that lead to service failures.

WHAT THIS LOOKS LIKE TODAY
  • Hours spent assembling Event Orders from multiple Salesforce records
  • No change tracking – when a client modifies the event, no easy way to see what changed
  • Multiple Event Order versions circulating with no clear record of what changed
  • Off-brand documents lacking consistent formatting
  • Event Orders that become stale the moment they’re generated
  • Distribution via email attachments and manual version tracking

Event Order is the document.
The platform is the engine.

Event Orders feed work orders, work orders feed the Ops Portal, the Ops Portal feeds the audit trail. One data model end to end.

QUESTIONS WE GET ASKED

Frequently Asked Questions

Do Event Orders update when the booking changes?
Yes. Event Orders render from live Salesforce data on every view. There’s no ‘generate’ step. Change the booking – the Event Order is current the next time it’s opened.
Can we see what changed since the Event Order was sent?
Yes. The track-changes drawer shows field history with shortcuts (Today, Yesterday, Since sent). The version comparator gives a clear comparison between any two dates.
How does sharing work?
Each Event Order has a shareable URL. The recipient doesn’t need a Salesforce account. The URL always shows live data, with changes highlighted since the Event Order was sent.
Can we customise the Event Order template?
Yes. Compose templates from the purpose-built sections. Each venue, each event type, each operational team can have its own template. Brand colours, fonts, and logos baked in.
Does it export to PDF?
Yes. PDF export with a background graphics toggle and page-break markers for printable output. Most teams stop printing once they have live URLs.
How does it handle dietary alerts and allergens?
A dedicated Dietary Alerts block surfaces requirements with prominent colour-coded highlighting. Kitchen and F&B see the alerts without scrolling.
