MODULE 07 · SHIPPING & LOGISTICS

Trucks, docks and storage
on one digital control tower.

Replaces gate-list spreadsheets, phone-based dock scheduling and emailed delivery requests with a single capacity-aware, QR-coded operations layer. Built on the same data model as ESC, Supplier Portal and the Ops Portal.

Built for institutional AI · Powered by Salesforce · Hosted in the EU

Live dock board · QR gate scan · storage utilisation · late-load enforcement

THE CHALLENGE

The week of load-in is when
every other system goes blind.

Setup week brings hundreds of trucks, thousands of pallets, and a logistics team running on radio, paper gate lists and a spreadsheet that’s never quite up to date. Exhibitors arrive without dock slots. Suppliers deliver to the wrong door. Storage fills up by Tuesday. By show day the team is exhausted and the venue has absorbed cost it can’t recover.

Most platforms treat logistics as an afterthought — bolted on to the exhibition module, separate from operations, separate from the supplier network.

WHAT THIS LOOKS LIKE TODAY
  • Dock conflicts discovered when the truck arrives
  • Gate validation done by clipboard and phone call
  • Storage capacity tracked on a whiteboard near the loading bay
  • Setup/breakdown windows agreed by email, lost by Wednesday
  • Late-load surcharges hard to enforce because there’s no system of record
THE THYNK APPROACH

One operations layer for trucks, docks, storage and setup — on live Salesforce data.

Define dock capacity. Publish delivery windows. Exhibitors and suppliers book against the live board. The gate validates arrivals via QR scan. Storage capacity tracks in real time. Setup and breakdown windows are scheduled the same way trucks are. And every action lands on the booking record — for billing, audit and post-event analysis.

WHAT'S INSIDE THE MODULE

The full on-site logistics suite.

Truck scheduler, gate scan, storage management, setup/breakdown scheduling, drayage pricing — on the same data model as ESC, Supplier Portal and Ops Portal.

Delivery windows & truck scheduler

Define dock capacity and time slots. A live board shows every dock’s schedule by date. Exhibitors and suppliers book against the available slots. Conflicts are eliminated before they happen, not discovered at the gate.

Gate scan

A tablet-optimised QR scanner at your venue entrance validates delivery trucks in seconds. No phone calls, no clipboards, no “is this one expected?” conversations.

Storage management

Define storage areas with m² or pallet capacity. Exhibitors and suppliers book storage; your team confirms, tracks check-in and check-out, and sees utilisation in real time.

Setup & breakdown scheduling

Exhibitors and suppliers request setup and breakdown appointments online. Your logistics team approves and manages the full schedule from a single view.

Weight-based drayage pricing

Built-in CWT (hundredweight) tiers for freight handling. Rate by product, by routing (advance warehouse vs direct-to-show), by deadline. Late-load surcharges become a rule, not a Friday argument.

Audit trail and billing readiness

Every dock slot used, every storage day consumed, every setup appointment honoured logs to the booking record. Post-event billing pulls the data; reconciliation is a query.

HOW IT SITS IN THE PLATFORM

Shipping & Logistics is the floor.
ESC and Supplier Portal are the front-ends.

Logistics is the layer underneath the front-line tools. Same data model, same audit trail.

QUESTIONS WE GET ASKED

Frequently asked.

How does gate scan actually work?
A tablet at the venue entrance scans a QR on the inbound paperwork (or on the truck operator’s mobile). The system validates: is this delivery expected? Is the dock slot now? Is there a stock recipient? Approve or refuse on the spot.
Does it handle weight-based pricing?
Yes. Drayage is priced on CWT (hundredweight) tiers, configurable per product. One-way or round-trip, advance warehouse or direct-to-show. Set the advance-warehouse close date — the system enforces it.
Can suppliers and exhibitors book the same dock board?
Yes. Both populations book against the same live capacity, with role-based scoping on what they can see and request. Your logistics team approves both flows.
Does storage utilisation track in real time?
Yes. Storage areas have configurable capacity (m² or pallets). Bookings, check-ins and check-outs all update utilisation live. When you’re at 95% capacity, you know before the next truck pulls up.
How does it integrate with our existing yard/security setup?
Gate scan runs on standard tablets; outputs are visible to your security team in real time. Audit trails are SIEM-compatible if you need to centralise them.
